Community and Event Planner

Job Description:

Summary/objective

Our Event and Community Manager will spearhead the Marketopia event, engagement, and peer group strategy. This includes managing all planning, attendee recruitment, and logistics at conferences, industry tradeshows, and company events.

Essential functions

  • Maintain event calendar and planning timelines for all events
  • Coordinate and organize all internal and external communication surrounding events
  • Meet with event stakeholders to gain an understanding of the event's purpose and goals
  • Outline the scope of the event, including time, date, location, and budget
  • Scout and inspect event venues (when necessary)
  • Work with vendors to get bids and determine best fits for the budget and goals of the event
  • Negotiate and manage vendor contracts
  • Coordinate event logistics and services, including technology and equipment needed to run the event, dcor, food and beverage, transportation, lodging, promotional material, entertainment, and more
  • Specify event staff requirements
  • Collaborate with marketing and PR to promote and publicize events
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct pre- and post event evaluations and report on outcomes
  • Research market, identify event opportunities and generate interest
  • Manage the budget and ensure event stays within guidelines
  • Propose ideas to improve event quality
  • Maintain sales team support materials with minor updates to include:
    • Pitch Decks and On-Boarding Decks (PowerPoint)
    • Submission and management of task requests through the Agency for new support materials
  • Oversee and maintain the Client Gift Box program to include supplies, shipments, and client list
  • Collaborate with sales team members to handle customer inquiries and complaints
  • Document and update customer records in CRM based on interactions
  • All other duties as assigned

Travel required

Less than 20% travel would be required on occasion.

Required education and experience

  • Bachelors degree in Business, Marketing or similar or High School diploma or equivalent experience with at least two+ years of Event Management experience
  • Strong presentation and writing skills
  • Ability to prioritize and multitask positive and professionaldemeaner
  • Extremely organized and detail-oriented
  • Excellent sales, customer service, interpersonal, relationship building and negotiation skills.
  • Proficient computer skills a must (Microsoft Office 365, web browsing,researching)
  • Strong sense of personal integrity and a high degree of personal responsibility/accountability
  • Comfort with multiple, shifting priorities and short deadlines
  • The ability to work closely and easily with a diverse team
  • Team player that has fun on the job while getting a lot done
  • Results driven and team focused
  • Mac user is essential
  • Critical thinker and problem-solving skills
  • Good time-management skills

Bonus education and experience

  • Strong knowledge of marketing
  • Knowledge or experience with HubSpot and/or PandaDoc
  • Previous experience incustomer service, sales, or other related
